Getting Started with OrgChart.build
Learn how to create, manage, and share your organization chart. This guide covers everything from adding your first employee to sharing your org chart with your team.
Overview
OrgChart.build is a simple, visual organization chart builder that helps you create and maintain your company's org chart. Key features include:
- Visual org chart - See your entire organization structure at a glance
- Easy employee management - Add, edit, and organize employees with a few clicks
- Drag-and-drop - Reorganize your chart by dragging employees to new managers
- CSV import - Bulk import employees from a spreadsheet
- Share links - Share read-only versions of your org chart with anyone
- Export options - Download your org chart as PNG or PDF
Creating an Account
To get started with OrgChart.build, you'll need to create an account for your company.
Go to the registration page
Visit orgchart.build/register.php to create your account.
Enter your company details
Fill in your company name and your personal details (name, email, password).
Start building
Once registered, you'll be taken directly to your dashboard where you can start adding employees.
Dashboard Overview
The dashboard is your main workspace. Here's what you'll find:
- Sidebar - Shows your company name, department filter, and employee count
- Search bar - Quickly find any employee by name, title, or department
- Org chart - The visual representation of your organization
- Zoom controls - Zoom in/out and reset the view
- Action buttons - Add employees, share, export, and access settings
Adding an Employee
There are two ways to add a new employee to your org chart:
Method 1: Using the Add Employee button
Click "Add Employee"
Find the "Add Employee" button in the top-right corner of the dashboard.
Fill in the employee details
Enter the employee's name, job title, email, phone, and other information. You can also upload a photo.
Select a manager (optional)
Choose who this employee reports to. If they're at the top of the org chart, leave this blank.
Save the employee
Click "Add Employee" to save. They'll appear in your org chart immediately.
Method 2: From an existing employee's card
You can also add a direct report by clicking on an employee card, then clicking "Add Direct Report" in the details panel.
Tip: When adding a direct report this way, the manager is automatically set to the employee you clicked on.
Editing an Employee
To update an employee's information:
Click on the employee's card
Find the employee in the org chart and click on their card to open the details panel.
Click the Edit button
In the details panel, click the "Edit" button (pencil icon) to switch to edit mode.
Update the information
Make your changes to any field - name, title, contact info, photo, etc.
Save your changes
Click "Save" to update the employee. The org chart will refresh automatically.
Assigning a Manager
When you add a new employee, you can assign their manager in the "Reports To" field. Simply select the manager from the dropdown list.
Tip: If an employee has no manager selected, they will appear at the top level of your org chart (useful for CEOs or company founders).
Changing a Manager
Need to move an employee to a different team? There are two ways to change who someone reports to:
Method 1: Drag and drop
Simply drag an employee card and drop it onto their new manager's card. The org chart will automatically reorganize.
Method 2: Using the Change Manager button
Click on the employee
Open the employee's details panel by clicking on their card.
Click "Change Manager"
Find and click the "Change Manager" button in the details panel.
Select the new manager
A dialog will appear with a list of all employees. Select the new manager.
Confirm the change
Click "Update Manager" to save. The employee will move to their new position in the chart.
Note: When you move an employee, all of their direct reports move with them.
Deleting an Employee
To remove an employee from your org chart:
Click on the employee
Open their details panel by clicking on their card.
Click the Delete button
Click the trash icon or "Delete" button in the details panel.
Confirm deletion
A confirmation dialog will appear. Click "Delete" to confirm.
Important: If the employee has direct reports, you'll need to reassign them to a new manager before deleting, or they will become top-level employees.
Creating Departments
Departments help you organize employees and filter your org chart view. You can create new departments directly when adding or editing an employee.
Open the Add/Edit Employee form
Click "Add Employee" in the sidebar, or click on an existing employee and select "Edit".
Find the Department dropdown
In the "Role Details" section, you'll see the Department dropdown with a + button next to it.
Click the + button
Click the + button to add a new department. Enter the department name and click the checkmark to save it.
Tip: The new department will be automatically selected after you create it, so you can continue filling out the employee form.
Assigning Employees to Departments
When adding or editing an employee, you can select their department from the "Department" dropdown. Employees with departments will show the department name on their card.
Tip: Use the department filter in the sidebar to view only employees from a specific department.
Managing Departments in Settings
You can also view, edit, and delete all your departments from the Settings page.
Go to Settings
Click the Settings icon in the top-right corner of the dashboard.
Click on Departments
In the sidebar, click "Departments" to view all your departments.
Add, edit, or delete
Click "Add Department" to create a new one, or use the edit/delete icons next to existing departments. You can also set a color for each department.
Note: Deleting a department will not delete the employees in it - they will simply become unassigned from any department.
Importing from CSV
Have a lot of employees to add? Import them all at once from a CSV file.
Click the Import button
Find the "Import" button in the dashboard header.
Download the template (optional)
Download our CSV template to ensure your data is formatted correctly.
Upload your CSV file
Click "Choose File" and select your CSV file, or drag and drop it into the upload area.
Map your columns
Match your CSV column headers to the employee fields (first name, last name, email, etc.).
Preview and import
Review the preview to make sure everything looks correct, then click "Import" to add the employees.
Tip: To set up reporting relationships via CSV, include a "Manager Email" column. The system will automatically link employees to their managers based on email addresses.
Exporting Your Org Chart
Download your org chart as an image or PDF to share in presentations or documents.
Click the Export button
Find the "Export" button in the dashboard header.
Choose your format
Select PNG (image) or PDF (document) format.
Download
Your file will be generated and downloaded automatically.
Creating Share Links
Share a read-only version of your org chart with anyone - no login required.
Click the Share button
Find the "Share" button in the dashboard header.
Create a new link
Click "Create Share Link" to generate a unique URL.
Copy and share
Copy the link and send it to anyone who needs to view your org chart.
Tip: You can create multiple share links and revoke them anytime. Revoked links will no longer work.
Share Settings
Control what viewers can see when they access your shared org chart.
In Settings > Layout & Styling, you'll find the "Show Details on Shared Links" option. When enabled, viewers can click on employee cards to see their details (contact info, department, manager, etc.).
Layout Settings
Customize how your org chart looks in Settings > Layout & Styling:
- Layout Direction - Choose top-to-bottom or left-to-right layout
- Node Style - Select how employee cards are displayed
- Connection Lines - Choose between orthogonal (angular) or curved lines
- Show Photos - Toggle employee photos on/off
- Show Report Count - Display number of direct reports on each card
- Default Zoom - Set the initial zoom level
Company Branding
Personalize your org chart with your company name in Settings > Layout & Styling:
The Company Name field lets you set your organization's name, which appears in the sidebar header and on shared org chart links.
Tip: Your company name will also appear on shared org chart links, giving a professional look when sharing with external stakeholders.
